Job Description - Event Manager

An event manager makes sure the event for the big day runs smoothly and as planned. It is also important that you create the best possible event within the client's budget.

Depending on the size of the event, you may have a team to assist you in preparing for the big day, namely a Creative Consultant to provide you with a unique idea or entertainment and/or a Researcher/Coordinator to seek out the desirable restaurants, caterers, florists and limousines and hiring of marquees, tables, chairs, linen through to the flowers.

The event may need to be promoted widely and therefore liaison with the media is also necessary.

The two distinct categories for event management is in the social or corporate arena. Social events may include charity events (fundraising events, balls), marathons, rock concerts, etc. whilst corporate events range from trade shows, conferences and conventions, to hospitality events (client/supplier golf days etc).

Training and Qualifications

Many independent Event Managers do not have formal education in the field believing that "hands on" experience in this field is the best training that anyone could have. However, many colleges and universities are now offering event management courses to those wishing to obtain a formal qualification. There are also many seminars and conferences available.

Personal Qualities

As this is a role where you will be required to liaise with decision makers across a wide range of industries it is an essential requirement that you will have a mature outlook and the ability to see the ‘big picture’ whilst at the same time communicate the detail. A sound understanding of event management and/or venue operations is also required.

You will also have the following attributes:

· be a motivated team player
· have excellent organisational and administrative skills
· confident and effective in negotiating

. able to communicate at all levels
· customer and results focused
· have a good sense of humour
· enjoy the challenges the industry provides

Keys to success:

  • An ability to communicate, understand and consistently deliver on (or exceed!) your client’s expectations.
  • To use your resources and contacts to provide your customers with access to things that they would never otherwise have access to or have even thought possible.
  • As an Event Manager, to head up a team of creative, out of the box, trend-setting and people-perceptive thinkers.
  • To be proficient in the use of cutting edge event management software.
  • Always extensively evaluate each event to ensure quality management and consistently ecstatic clients.
  • To demonstrate integrity with customers, staff and suppliers and to provide highly consistent and predictably outstanding service.

An Event Manager must develop and update their legal knowledge (particularly in regard to Meetings and Events Contracts) required for Business Compliance.

The specific qualities which are required to become a proficient Event Manager are good social and communication skills, public relation skills, excellent time management, decision making and financial skills and above all else good organisational skills.

Learning the industry and obtaining contacts with vendors, suppliers, and venues takes time and experience. Good networking skills are very advantageous. It’s also critical for the Event Manager to have the skills and knowledge required to plan and develop proposals and bids for the staging of events – including evaluating possible competitors and their points of difference, and developing strategies to address these competitive issues.

One important attribute which can be overlooked is creativity. You have to have creative skills for an event to succeed and to attract people. If it is an annual event, you need to have some element of creativity, interest or excitement to attract people to the same event every year.
